Role Profile
Reporting to the CEO, the primary purpose of this role is to provide executive assistance and support to the CEO and also some senior managers as required.
The primary purpose of the Executive Assistant role is to support the CEO and from time to time senior managers in order to facilitate the smooth running of the Head Office managerial functions and assist with internal and external documentation and communications.
There is also a marketing support (social media and website) component in the role.
Whilst daily responsibilities will provide a certain amount of predictability, a portion of the role will require genuine commercial experience, quick thinking and sound decision making in order to effectively manage small issues or approve minor administrative matters on behalf of the executive.
This role offers an opportunity to stretch into areas that aren’t normally part of a traditional EA or administration role providing variety, ownership and independence.

The Person We Seek
The successful applicant will be a confident and dynamic person, able to proactively manage a wide range of administrative tasks that arise in the course of business.
You will need to be highly organised and demonstrate a good level of commercial maturity.
We also seek a person who understands the importance of every task, big or small and who is flexible and willing to take on the ordinary daily routines along with the creative tasks such as event organising and creation of marketing content.

Key Responsibilities
• Providing proactive executive support. This includes – diary and email management, document preparation and preparing presentations and reports
• Preparing Board Meeting papers and recording minutes
• Filing of all documents and contracts
• Drafting IEA’s, letters of offer, revisions to IEA’s as directed
• Reporting and feedback relative to the Culture & Values
• Co-ordinating meetings and events
• Updating social media posts – Linked In, Facebook and website
• Arranging before and after job photo shoots
• Fleet maintenance and signage
• Establishing and building relationships with a wide range of internal and external parties
• Ensuring communication flows smoothly

Qualifications and Experience Required
• The successful applicant will have significant experience in an EA or managerial support role in a medium to large NZ company.
• A Business Administration diploma or tertiary qualification would be an advantage but not essential.
• Advanced Microsoft Office skills are required
• Knowledge of office procedures and basic HR practices is also required
• Remuneration is negotiable and will be commensurate with skills and experience.
